Private Chef Porto Heli – Villa Catering & Chef Service

These Terms and Conditions govern all private chef, daily chef, villa catering and related food services provided by Private Chef Porto Heli – Villa Catering & Chef Service (“Private Chef Porto Heli”, “we”, “us” or “our”).
The person making the booking is referred to as the “Client”.
By confirming a booking and paying the required Booking Deposit, the Client confirms that they have read, understood and accepted these Terms and Conditions.
1. Our Services
Private Chef Porto Heli provides private chef and villa catering services throughout Porto Heli and the surrounding areas, as well as the islands of Spetses and Hydra.
Our services may include:

Private lunches and dinners

Daily private chef services
-
Multi-day chef services
-
Villa catering
-
Breakfast, lunch and dinner preparation
-
Menu planning and design
-
Shopping and sourcing of ingredients
-
On-site food preparation and cooking
-
Meal service
-
Waiting and kitchen staff where required
-
Catering for celebrations and special occasions
-
Post-service kitchen clean-up
The exact services included in each booking will be detailed in the quotation, proposal, menu or booking confirmation provided to the Client.
Additional services or requirements outside the confirmed booking may incur additional charges.
2. Fresh, Seasonal & Local Ingredients
Our food philosophy is centred around fresh, seasonal and locally sourced produce.
Wherever reasonably possible, we source ingredients from trusted local farmers, fishermen, markets, producers and suppliers throughout Porto Heli, the Peloponnese and surrounding areas.
Our menus may therefore change according to seasonality, market availability and the daily catch.
If a particular ingredient or menu item is unavailable, we reserve the right to substitute it with a suitable alternative of similar or higher quality while maintaining the overall character and standard of the agreed menu.
Where practical, the Client will be informed of any significant substitution.
3. Quotations & Prices
A quotation will be provided based on the information supplied by the Client, including:

Unless otherwise stated, quotations are based on the guest numbers and services specified at the time of quotation.
Additional guests, services, staff, ingredients, equipment, transportation or other requirements may result in additional charges.
4. Booking & Confirmation
A 25% Booking Deposit is required to reserve the agreed date(s), chef availability and services unless otherwise stated in writing.
The Booking Deposit forms part of the total booking price.
A booking is not confirmed until the required Booking Deposit has been received.
Payment of the Booking Deposit constitutes acceptance of these Terms and Conditions.
The remaining balance is payable on or before the day of service, according to the payment arrangements specified in the Client's quotation, invoice or booking confirmation.
For multi-day or Daily Private Chef bookings, an alternative payment schedule may be agreed in writing.
5. Cancellation by the Client
We understand that travel plans can sometimes change. However, once a booking is confirmed, we reserve the chef, date and required resources specifically for the Client and may decline other bookings.
The following cancellation charges therefore apply to confirmed bookings:
30 Days or More Before the Service
The 25% Booking Deposit will be retained.
15–29 Days Before the Service
50% of the total confirmed booking value will be payable.
8–14 Days Before the Service
75% of the total confirmed booking value will be payable.
Within 7 Days of the Service
100% of the total confirmed booking value will be payable.
The Booking Deposit forms part of the applicable cancellation charge and is not an additional charge on top of the percentages above.
Where payments already made exceed the applicable cancellation charge, the remaining balance will be refunded.
For multi-day bookings, the first scheduled day of service will normally be considered the service date when determining the cancellation period.
6. Right of Withdrawal for Date-Specific Catering Services
Private chef and catering services booked for a specific date or period are generally excluded from the standard 14-day right of withdrawal that applies to certain distance and online consumer contracts under applicable EU consumer law.
Cancellation of confirmed date-specific services is therefore governed by the Cancellation Policy contained within these Terms and Conditions, subject always to any mandatory consumer rights that may apply.
7. Cancellation by Private Chef Porto Heli
In the unlikely event that Private Chef Porto Heli must cancel a confirmed service for reasons within our reasonable control, we will make reasonable efforts to offer a suitable alternative chef, service or date where appropriate.
If a suitable alternative cannot be provided or accepted, all amounts paid by the Client for the affected service will be refunded.
Our liability in such circumstances remains subject to any mandatory rights available to the Client under applicable law.
8. Changes to a Booking
Requests to change a confirmed booking must be made as soon as reasonably possible.
Changes may include:

Service style

Scope of services
All changes are subject to availability.
Where a change results in additional ingredients, staff, transportation, equipment or working hours, additional charges may apply.
A significant reduction in guest numbers or services after confirmation does not automatically entitle the Client to a reduction in the agreed price, particularly where costs or resources have already been committed.
9. Final Guest Numbers
Final guest numbers should be confirmed no later than 5 days before the scheduled service, unless otherwise agreed.
After this deadline:

Additional guests are subject to availability.
-
Additional charges may apply.
-
We cannot guarantee that the original menu can accommodate substantial last-minute increases.
-
Reductions in guest numbers do not automatically result in a reduction in the confirmed booking price.
The Client is responsible for providing accurate guest numbers.
10. Additional Guests
If more guests attend than the number confirmed in the booking, Private Chef Porto Heli will make reasonable efforts to accommodate them.
Where additional guests can be accommodated, the appropriate additional per-person or service charge may be added to the final invoice.
Where insufficient food, ingredients, equipment or staff are available to accommodate unannounced additional guests, we cannot guarantee that they can be served.
11. Daily Private Chef & Multi-Day Services
Where a chef is booked for a full day or several consecutive days, the quotation or booking confirmation will specify the approximate meals, services and working arrangements included.
Depending on the agreed package, this may include breakfast, lunch, dinner, snacks, food preparation and/or other agreed services.
Daily Chef Service does not automatically constitute unlimited chef availability.
Requests for significantly extended working hours, additional meals, additional guests, events or services outside the agreed scope may incur additional charges.
Menus may be planned in advance while remaining flexible enough to take advantage of the best fresh and seasonal ingredients available locally.
12. Villa Access
The Client is responsible for ensuring that Private Chef Porto Heli and any required staff can access the villa or property at the agreed time.
The Client must also ensure that permission has been obtained from the villa owner, property manager or accommodation provider for private chef/catering services to take place where such permission is required.
If the Client or their representative fails to provide access at the agreed time and the service cannot reasonably proceed as a result, the booking may be treated as a same-day cancellation, and the full agreed service charge may remain payable.
13. Villa Kitchen & Equipment
The Client is responsible for ensuring that the property has reasonably suitable and functioning kitchen facilities appropriate for the agreed service.
This may include:

Electricity
-
Running water
-
Refrigeration
-
Freezer facilities where required
-
Oven
-
Cooking facilities
-
Suitable preparation surfaces
-
Basic cookware and kitchen equipment
-
Safe and hygienic working conditions
Where the available facilities are materially different from those expected or represented, we reserve the right to modify the menu or method of preparation where reasonably necessary.
If additional equipment, transportation or rental items are required, these may be arranged where possible and charged separately.
We reserve the right not to use equipment that we reasonably consider unsafe or unsuitable.
14. Spetses, Hydra & Island Services
Services provided on Spetses, Hydra or other locations requiring sea transportation may incur additional travel, transportation, delivery, staffing or logistical charges.
These will be communicated to the Client where applicable.
Service times may need to accommodate ferry, sea taxi and other transportation schedules.
Private Chef Porto Heli cannot control:

Ferry cancellations
-
Water taxi cancellations
-
Port closures or restrictions
-
Official sailing restrictions
-
Severe weather
-
Unsafe sea conditions
-
Significant transportation disruption
If such circumstances affect a booking, we will make reasonable efforts to find a practical alternative, which may include adjusting the service time, changing transportation arrangements, rescheduling or modifying the service.
15. Food Allergies & Dietary Requirements
The Client must inform us in writing of all known food allergies, intolerances and significant dietary requirements relating to the Client or their guests.
This information should be provided as early as possible and no later than the final guest confirmation deadline unless the allergy or requirement only becomes known afterwards.
We will make reasonable efforts to accommodate notified dietary requirements and allergies.
However, ingredients may be sourced from third-party suppliers and food may be prepared in villa kitchens that are not permanently controlled by Private Chef Porto Heli.
For this reason, we cannot guarantee a completely allergen-free environment or the complete absence of traces of allergens.
Clients with serious or potentially life-threatening allergies should discuss their requirements with us before confirming the booking so that we can determine whether the requested service can safely and reasonably be provided.
16. Food Safety & Leftover Food
Food will be prepared and handled according to appropriate food hygiene and safety practices.
Where food remains at the villa after completion of the service, responsibility for its appropriate storage, refrigeration, reheating and consumption passes to the Client once our service has concluded.
Private Chef Porto Heli cannot accept responsibility for food that is subsequently:

Improperly stored
-
Left unrefrigerated
-
Reheated incorrectly
-
Contaminated after service
-
Consumed outside an appropriate safe period
Where we reasonably believe that food should not be retained for later consumption, we may advise the Client accordingly.
17. Client Responsibilities
The Client agrees to:
-
Provide accurate booking information.
-
Provide the correct service address and access instructions.
-
Provide accurate guest numbers.
-
Communicate allergies and dietary requirements.
-
Ensure appropriate access to the property.
-
Provide a reasonably safe working environment.
-
Ensure that necessary villa permissions have been obtained.
-
Inform us of known restrictions affecting the property or service.
-
Ensure children and pets are appropriately supervised and do not create unsafe conditions within food preparation areas.
18. No-Show or Inability to Provide Service
If the chef and/or staff arrive as agreed but the service cannot proceed because of circumstances attributable to the Client — including failure to provide access, the Client being absent or the Client deciding not to proceed — this will normally be treated as a same-day cancellation.
In such circumstances, 100% of the confirmed booking value may remain payable.
19. Delays
We ask Clients to advise us as soon as possible if their plans or requested meal time change.
Reasonable delays will be accommodated where possible.
However, significant delays may affect food quality, staff availability, transportation schedules or subsequent bookings.
Where a delay attributable to the Client results in significantly extended staff or chef working hours, an additional charge may apply.
20. Damage, Breakages & Villa Property
Private Chef Porto Heli and its staff will take reasonable care when using the Client's or villa owner's kitchen, equipment, tableware and facilities.
We will not be responsible for:

Pre-existing damage
-
Normal wear and tear
-
Defective equipment
-
Unsafe appliances
-
Damage caused by equipment being unsuitable for its intended use
Any accidental damage directly caused by us will be handled reasonably and appropriately.
21. Force Majeure
Neither Private Chef Porto Heli nor the Client will be liable for failure to perform obligations where performance becomes impossible or materially affected by circumstances beyond reasonable control.
These may include:

Severe weather

Unsafe sea conditions
-
Natural disasters
-
Fire
-
Government restrictions
-
Civil emergencies
-
Port closures
-
Ferry or sea transportation disruption
-
Significant utility failures
-
Other extraordinary circumstances beyond reasonable control
Where possible, we will work with the Client to find a reasonable solution, including rescheduling, relocating or modifying the service.
Any refund, credit or rescheduling arrangement will depend on the circumstances, costs already reasonably incurred and any mandatory rights available under applicable law.
22. Liability
Private Chef Porto Heli will provide its services with reasonable care, skill and professionalism.
To the extent permitted by applicable law, we will not be responsible for indirect or consequential losses arising from circumstances outside our reasonable control.
We will not be responsible for loss or damage caused by inaccurate or incomplete information provided by the Client, undisclosed allergies, defective villa equipment, unsafe premises or events beyond our reasonable control.
Nothing in these Terms and Conditions excludes or limits liability where such liability cannot lawfully be excluded or limited, nor does anything in these Terms affect the Client's mandatory rights under applicable consumer protection law.
23. Photography & Client Privacy
We respect the privacy of Clients and guests while providing services in private villas and residences.
We will not intentionally photograph or publish identifiable images of Clients or their guests for promotional purposes without appropriate permission.
Where permission is provided, photographs may be used on our website, social media or other marketing materials.
Clients may request that no photography takes place during their service.
24. Intellectual Property
Original menus, recipes, written materials, photographs, concepts and other materials created by Private Chef Porto Heli remain our intellectual property unless otherwise agreed in writing.
Materials provided to Clients are for personal use and may not be reproduced, distributed or used commercially without prior permission.
25. Privacy & Personal Information
Personal information collected in connection with enquiries and bookings will be used for the administration and provision of our services and handled in accordance with applicable Greek and European data protection legislation.
Our website should be read together with our separate Privacy Policy, which provides further information about how personal information is collected, processed, stored and protected.
26. Governing Law & Dispute Resolution
These Terms and Conditions and the services provided by Private Chef Porto Heli are governed by Greek law.
If a disagreement arises, both parties agree to make reasonable efforts to resolve the matter amicably.
Where an amicable resolution cannot be reached, disputes will be dealt with in accordance with applicable Greek law and by the competent courts, without prejudice to any mandatory jurisdiction or consumer protection rights available to the Client.
27. Changes to These Terms
Private Chef Porto Heli may update these Terms and Conditions from time to time.
The Terms and Conditions applicable to a confirmed booking will normally be those provided or published at the time the booking was confirmed, unless a subsequent change is required by law or expressly agreed between the parties.
28. Entire Agreement & Severability
These Terms and Conditions, together with the confirmed quotation, proposal, menu, invoice and/or booking confirmation, constitute the agreement between the Client and Private Chef Porto Heli in relation to the booked services.
If any provision is determined to be invalid or unenforceable, the remaining provisions will continue to apply.
